Sales Support and Administration Specialist – Saudi Arabia
Primary Role Focus:
Responsible for supporting and coordinating the sales workflow between clients, local partners, and internal departments. Accountable for managing revenue-generating processes and providing business administration support.
• Reports to: General Manager, Saudi Arabia
Key Tasks and Responsibilities
• Purchase Order Management:
o Manage the end-to-end process for product purchase orders, from receipt of PO to cash flow.
o Review purchase orders (POs) and obtain acceptance approval per QMS guidelines.
o Maintain accurate PO records and create corresponding folders.
o Coordinate with Operations to estimate execution dates and update local partners accordingly.
o Track and manage cancelled POs or line items, communicating updates to local partners.
o Confirm invoiced POs with Finance and ensure timely cash flow.
o Liaise with Aramco Operations Procurement and IT for PO issues, when necessary.
• Service Contract Execution:
o Access and manage Aramco Portal to track open DRSSs.
o Coordinate execution timelines with Operations and update Aramco Portal.
o Oversee ESV and Dilip processes in Aramco Portal.
o Communicate with Aramco certifiers and verifiers to secure service entry acceptance.
o Record revenue in Master Sheet and coordinate with Finance for invoicing and cash flow.
o Resolve any issues on Aramco Portal by liaising with Aramco CAD or IT Departments.
• Reporting and Analysis:
o Monitor and report on Revenue DSO (Days Sales Outstanding).
o Prepare and present monthly revenue reports to management.
o Analyze and report revenue by line item, Aramco department, and sales representatives and other criteria’s as required.
o Track and analyze rig count
• Administrative Support:
o Coordinate Aramco ID and sticker requests, tracking expiry dates for timely renewals.
o Manage staff accommodation contracts and occupancy.
o Handle travel arrangements, including flight and hotel bookings, and transportation for staff and visitors.
o Manage company leased vehicles
o Assist in organizing company events and meetings.
o Perform additional tasks and projects as assigned.

• 5+ years of experience with Aramco SAP Ariba, ESV & Dilip systems
• Strong organizational, coordination and communications skills.

• Prolonged use of computer monitor, keyboard and mouse.
• Ability to sit for extended periods.
